Forgive Balance

Low Balance

In System Options, you can choose to have the program prompt you when a customer's balance falls below an amount you specify.  With this option, you will be given the choice to forgive their remaining balance.

Go to Miscellaneous, 1 - System Options,
then tab 4- Payment Options, and you can set this amount (or set it to 0 if you do not want to use this option).

For example, if you have the amount set to $5, and a customer who owes $501.38 makes a payment of $500, they will have a remaining balance of $1.38.  Since the amount has fallen below $5, the system will ask if you want to forgive the remaining balance.  If you click no, the balance will remain $1.38.  If you click yes, the system will automatically enter a forgive charge for $1.38 and the customer will have a balance of $0.

Portion of a Balance

In general, you may want to forgive some portion of a customer's balance for whatever reason.  To do this,

select the customer through Customer Activity
click on A - Enter Payments and Other Transactions
Under transaction type, select "Forgive Charge"
Then, enter the amount you would like to forgive

If the customer has repairs, pick-up, or fees balance, make sure the forgive charge is being applied to the correct balance by looking at the "Apply To" box in the bottom right corner of the payment screen.
