Once you have completed Part I of the Quickbooks Interface setup, you are ready to proceed with the final steps.
A Link Must Be Created Between the General Ledger Chart of Accounts in Frazer and the Accounts in QuickBooks.
You need to match up the accounts in Frazer with the account of the same usage (if not the exact same name) in QuickBooks. For example, the Cash account in Frazer might be called "Cash", whereas in QuickBooks it might be called "Checking."
Important note: When importing transactions into Quickbooks, any transactions that are posted to your Accounts Payable account will also add an open bill that needs to be paid to your list of bills. To prevent this from happening, you should create another Accounts Payable account in Quickbooks, (perhaps name it "Accounts Payable Transfer") and for the Type of account select "Other Current Liability" instead of "Accounts Payable".
Step 1: Export your Chart of Accounts from QuickBooks
1.
Go into QuickBooks.
2.
Select menu item: File - Utilities - Export - Lists to IIF files. (Quickbooks 2005 users, click File - Export - Lists to IIF files)
3.
Be sure ONLY "Chart of Accounts" is selected, and click OK
4.
The export file should be named FrazerExport.IIF and should be located in the folder where the Frazer program is located (usually the FRAZER30 folder). Then save the Export file.
Step 2: Load the QuickBooks data into Frazer
1.
Go into the Frazer program.
2.
Select menu item: Accounting - 5. Transfer Data to QuickBooks.
3.
Click on the button with maroon writing at the bottom of the Transfer Data to QuickBooks screen, button is labeled keep the link...
4.
Click on the button with green writing at the bottom of the Frazer accounts linked to QuickBooks accounts screen, button is labeled Click here to update the file...
5.
Click on the button with green writing at the bottom of the Retrieve QuickBooks G/L Chart of Accounts Information screen, button is labeled Begin loading QuickBooks G/L Account Data.
Step 3: Create the link between each and every Frazer account and the related QuickBooks account.
1.
If you just finished Step 2 above you will already be on the screen needed to start creating the links. Otherwise just follow steps 2.1 through 2.3 above to get to here.
2.
You should be on the screen titled Frazer accounts linked to QuickBooks accounts. You will then need to double click on each account that still needs a QuickBooks Account Name in the list.
3.
Once you double click on a Frazer account the QuickBooks accounts screen will be displayed and you will need to select the related QuickBooks account to go with the Frazer account. The QuickBooks accounts screen will only display an account of the same type - for example if you select an Asset account (like "Cash") from Frazer, then only Asset accounts from QuickBooks will be displayed for you to select from.
4.
Repeat this step for each Frazer account until you have them all associated with a QuickBooks account.
In the future, you will only need to re-link the two systems if you add or change an account in QuickBooks or Frazer.
