Setting Up Individual Passwords

General Information

There is a second security option which assigns passwords to individual users.  This method allows for the tracking of who makes changes to the system and also can restrict users from certain programs.  The user will be required to enter an I.D. and password when they first log in to the FRAZER system.

 

The system allows a user to have access to all areas, some areas, or none of the areas listed below:

Allow changing of customer's payment schedule
Allow changing of customer payments and other transactions
Allow reviewing Accounts Receivables Totals information
Allow reviewing audit trail information
Allow user to forgive payments
Allow user to cancel sale
Allow user to update system options
Allow user to change customer's due date
Allow user to review vehicle information (including costs)
Allow printing reports
Allow user to access sales recap report
Allow user to write off customer

Setting Up User ID's and Passwords

To set up your password system, click on Miscellaneous at the top of Frazer, and then 3 - Password System.  When you arrive at the Password System Screen, you will have two options from which to choose.  To customize what each user has access to, choose Option 2 - Each user has their own password, giving you greater control over access. As with Option 1, you will need to enter a code, in the first field, that will be required to change the password system in the future.  Then, click on Set up and maintain individual user passwordsClick on Add New User, which allows you to enter a user I.D., the person's first and last name, and a password. 

 

For each user, you are given a list of options for what that user can or cannot do.  For example, the first option is "Allow changing of customer's payment schedule".  If you want that particular user to be able to change a payment schedule, check the box next to that line.  Leaving the box unchecked will not allow that user to change payment schedules.  Once you have determined whether each box should be checked or unchecked, simply click OK.  Continue to add each user in this fashion, and click on EXIT when you are finished.

Changing the Password System

To change your passwords or how your password system is set up, go to Miscellaneous, then 3 - Password Systems. If you originally entered a code required to access the password system, you will need to enter that code.  After you have entered the code, press the TAB key (the enter key will not work!).  This will bring you back to the Password System box, where you can change any passwords.  If you want to change what a specific user has access to, click on Set up and maintain individual user passwords, click on the user so they are highlighted in blue, and then click the Change button.

Helpful Hints

When creating individual passwords, set your I.D. and password first and select all of the available check boxes to make sure that you have access to the entire system.
If the system is set up for individual I.D.'s and passwords, and a user tries to perform a transaction that is not intended for their use, an "Access Denied" message will display.
